GEMS (Graduate Education Monitoring System)
Overview
As you may have heard in multiple media reports, the topic of physicians-in-training (i.e. interns and residents) working excessive hours is a hot topic and has led to stringent rules being imposed upon medical schools. To get around this problem of tracking Work Hours, We here at University of Florida have rolled out a web based system GEMS (Graduate Education Monitoring System) that does data management and reporting for Graduate Medical Education departments. GEMS can save thousand of hours of scheduling, evaluation and reporting times. The System is designed to meet specific needs of each program.

Evaluations
This module tracks – Trainee Evaluations by Faculty/Physicians Faculty/Physicians Evaluations by Trainee Rotation Evaluations by Trainee
The System is self learning and keeps track of all the evaluations to be performed. Once the master schedule for the Division/Department is entered, the system reminds all the concerned parties through constant email reminders (Frequency of these email reminders can be set accordingly). Anonymity of the evaluations is maintained wherever it is necessary. Automated paper backups and a comprehensive reporting feature complement this module.

Work Hours
This module tracks work hours, monitors their hours for violations of national rules. Emails are sent out to all concerned parties (trainees as well as coordinators, program directors) to enter or review entries, as appropriate, via the supplied links. It also tracks the number of phone calls, approved moonlighting hours and other parameters. The system provides automated paper backups of the work hour entries, and a very intuitive reporting feature to summarize the hours. Details can also be generated for work hours at individual training sites, and specifics for violations of each rule (if any).

Procedure Logs/Diagnosis
Procedure Logs/Diagnosis This module keeps track of all the procedures performed and diagnosis (including didactic) done by the Trainees. Self customizable screens are provided to suit each trainee’s taste and style. Again a smart reporting feature is provided to summarize the reports.
